NAAE Membership Committees and Purposes

NAAE prides itself in being a grassroots organization. Our committee structure and process are critical to the growth and success of NAAE, allowing our members to have a strong voice in directing the future of our organization. In February 2022, the NAAE Board of Directors voted to establish the following five membership committees, thus retiring the previous committees. Advocacy

Advocacy in Agricultural Education
The purpose of the Advocacy in Agricultural Education committee is to provide insight and recommendations on opportunities to effectively influence agricultural education through promotion, communication, and policy.

The purpose of the Financial Review committee is to review the financial statements, dues structure and fiscal solvency of the organization.

The purpose of the Teacher RRR committee is to provide insight and recommendations on topics and initiatives related to attracting, engaging, supporting, and celebrating agricultural education professionals.

Each committee is comprised of three members from each of NAAE's six regions. New committee members are elected at the first virtual committee meeting of the new calendar year and as openings occur throughout the year. To explore if there is a current opening for you to serve on a NAAE committee, you may contact the respective committee leaders. Committee leader contact information is included on the respective committee's webpage, which are linked directly above.

To be considered for a committee member position, no later than December 31 of the year prior to the year you wish to begin your service, please complete and submit the online application and attach a signed Committee Memorandum of Understanding.

To be considered for a committee chair or secretary position, no later than December 31 of the year prior to the year you wish to begin your service, please be sure your committee member application has already been filed AND complete and submit a signed Committee Memorandum of Understanding specifically for the leadership position for which you are applying.

Please note that if you are re-applying for a new 3-year term on a committee where you already serve, you should submit a new committee member application and MOU. If you are applying for a leadership position (chair or secretary) on a committee where you already serve, you should ensure your committee application is current (resubmit if necessary) and you must submit a new MOU for the leadership position you seek. If you are simply continuing your current term on a committee, you do not need to re-submit an application or MOU.

About NAAE Committees
There are five NAAE committees. Each of the five committees has 18 members, three members from each of the six NAAE regions.  The committee chairs and committee secretaries are elected by members of the respective committees from among the 18 members of the respective committees.

Every year at the winter virtual meeting, each committee will select one new committee member per region to serve a three-year term. That term will begin at the conclusion of the winter committee meeting and end at the winter committee meeting three years later. Committee chairs and secretaries will also be elected during the winter committee meeting, and will serve from that meeting until the winter meeting one year later.

There will be at least two virtual committee meetings per year. Virtual committee meetings will be conducted by webinar and/or conference call. Conducting committee meetings virtually will allow members to participate on committees without having to commit to traveling for face-to-face meetings. Additional virtual committee meetings may be called at the discretion of the committee leaders and members. Committees will also meet at regional NAAE meetings and at the annual NAAE convention. However, it is the intent of the new committee process that formal committee business be conducted during the virtual meetings. This is to support the feeling that committee members should not be required to have the expense of attending face-to-face meetings. The 18 members of the full committees are encouraged, but not required, to attend their regional NAAE meetings and the annual NAAE convention.

Quorum
In order to conduct business, at least 50 percent of the current committee members OR at least 1 committee member from each region must be present.

Committee members will participate in at least two virtual (web-based and/or conference call) committee meetings per year and engage actively in the committee’s activities and initiatives. All NAAE members are welcome to participate in discussion during these virtual committee meetings; however, the three elected committee members per NAAE region will cast votes on committee business. Committee members are elected to committee service by the current committee members; therefore, they are not to send a replacement committee member to vote for them if they are not able to participate in a committee meeting. Non-voting committee members are welcome to participate in committee meetings on behalf of themselves or on behalf of an absent committee member.

The term of service for a committee member will be three years beginning at the first virtual committee meeting held in the new calendar year.

The full committee chair will conduct the two (or more, if needed) virtual committee meetings, conduct the committee session during the annual NAAE convention, and present the committee report at the business session during the NAAE convention. Since the chair is expected to attend the NAAE convention, after the convention, NAAE will reimburse the chair’s NAAE convention registration fee at the early-bird registration rate. The committee chair will be responsible for selecting the dates and times of virtual committee meetings, planning the agenda for all committee meetings, and ensuring that committee members are well informed and prepared to participate in all committee meetings. The committee chair, with assistance from the committee secretary, board consultant, and staff consultant, will be responsible for communications with committee members regarding committee meeting schedules, agendas, and preparations needed for the committee meetings.

The term of service for a committee chair will be one year beginning at the first virtual committee meeting held in the new calendar year.

The full committee secretary will prepare the minutes of the two (or more, if needed) virtual committee meetings and the committee session during the annual NAAE convention. Since the secretary is expected to attend the NAAE convention, after the convention, NAAE will reimburse the secretary’s NAAE convention registration fee at the early-bird registration rate. The secretary will assist the chair in communicating with committee members regarding committee meeting schedules, agendas, and preparations needed for the committee meetings.

The term of service for a committee secretary will be one year beginning at the first virtual committee meeting held in the new calendar year.
